Te āhua o Te Tūrunga – The nature of the position. A bit of about the role, responsibilities, and duties.
This highly creative environment will attract those that not only have an extensive skill set, but also individuals with high levels of energy, drive and passion in what they do.
Accountable for senior staff diary management, setting up appointments with clients and other stakeholders including via Zoom/MS Teams, you will have ownership of diaries, schedules, emails and managing and coordinating appointments. Working cross organisationally with different aspects of the business, you will have the skill set to anticipate needs, alongside the ability to prioritise urgent requests and time critical pieces of work.
A daily part of this position is the management and setting up of projects within the Monday.com platform; supporting production managers to outline and keep team members to deadlines.
Taking on project related support tasks when required, your agility to jump between BAU and project work, and your ability to ascertain urgency and prioritise your workload will all be highly valued. You will be instrumental supporting the Directors with recruitment – assisting with CV collation, setting up interviews, coordinating testing, managing post hire administration, and coordinating onboarding and inductions. As an experienced, corporate office manager, personal or executive support, you will have the skill set and capability to develop systems and processes, as well as the ability to support staff with developing presentations, and assisting with technical troubleshooting as required.
You will be using a variety of software packages, spreadsheets, databases, and presentation software in your role, and have a real level of comfort in supporting others who may not have an advanced skill set, or technical ability. Anticipating needs, analysing and assessing requests in order to problem solve, troubleshoot issues and initiate action to facilitate resolutions, you will be IT/Tech savvy, as you will be called upon to support and lead in many areas such as; keeping software up to date, managing software subscriptions, organising staff training to ensure IT skills make work easier; and updating the company website.
You will provide expert advice and support across all areas of office management and take a proactive approach to problem solving, backed by your strong decision-making skills.
Responsible for co-ordination and the attendance to all internal meetings; Team, Executive, Production, Agency, and Finance – your role is pivotal in the success, and smooth running of the business. Experienced and able to take the lead, managing invoices, receipts, and reconciliations, you will be tasked with supporting the setup of payroll for new employees, talking through invoicing with contractors, setting up emails, drop box and other system and software access. Demonstrating a real sense of ownership and responsibility, as well as refined and articulate communication skills, you’ll provide support across differing projects, drawing on your continuous improvement and leadership mindset.
Ngā tino Pūkenga/Whēako – Essential skills/experiences for the role
The past experience working within Māori business, an agency, pre or post-production organisation are all highly regarded attributes advantageous to your application.
The skills knowledge and experience required for this position will include;
- Demonstrated experience in a previous Office Manager or Executive Support position.
- Knowledge and understanding of tikanga Māori and a basic knowledge and understanding of Te Reo Māori.
- Advanced skills in Microsoft Office suite and highly capable in the production of reports and presentations.
- Experienced in office financial reconciliations, invoicing and spreadsheet management.
- Skilled in travel and event bookings, diary management and coordination.
- Have experience minute taking, collating agendas and following up on action items.
- Have experience working to deadlines, showing agility and resilience under pressure.
- Highly organised, and have experience supporting office technologies.
- The experience to effectively manage internal and external stakeholders through trust, advocacy, and collaboration.
- Experience managing multiple sets of relationships with tact and diplomacy, the ability to operate effectively with a high level of diplomacy and confidentiality.
- Self-managing and motivating with high levels of energy and creativity.
This is a highly creative and innovative environment, filled with people who have passion and drive for what they do. It’s often reactive and fast paced and will suit an individual who shares these traits. Office hours are 9:00am to 5:00pm Monday to Thursday. Friday can be worked from home.
Remuneration is positioned at circa $90,000 to attract a high calibre, experienced applicant.
